Booking Information:
W. E. Aviation (WEA) flights take place from a selection of airfields as nominated by WEA for use at different times throughout the flying season which usually runs from the beginning of March to the end of September. The location for any flight will be agreed by WEA at the time of voucher purchase. However, this location can be changed by WEA if operational requirements necessitate such change. WEA will, of course, notify a voucher holder of any such change and will use reasonable endeavours to arrange flights in an appropriate alternative geographic location having regard to the original voucher detail.

The recipient of the voucher must contact WEA to book the date of their activity and in any event, a booking must be made within 3 months of the date of purchase of the voucher otherwise, not withstanding the period of validity of the voucher, the voucher will be forfeit. We always confirm bookings verbally so if you forward your booking request by post and hear nothing from WEA then please contact us by telephone. We can accept no liability for any booking requests which may be lost in the post.

Flying season:
Scheduled bookings cannot normally be made during the closed flying season (October to February inclusive). However, WEA does sometimes operate flights during this closed season on a short notice stand by basis. If you would like to fly during the closed season WEA will hold your details and availability on our stand by list and will contact you at short notice if operations are feasible.

No guarantee can be made as to availability of the activity on any particular day at any particular location.  WEA advise you to book as early as possible before your preferred date.

Validity:
All WEA vouchers are valid for 12 months from date of purchase.
Vouchers can be extended any time in the last month of validity at WEA’s discretion subject to payment covering any price increases over and above original voucher cost and an extension fee of £25.

Transferring:
As all WEA vouchers are personalised to the individual recipient transferring the voucher to a new recipient will incur a £10 transfer fee.

Refund:
All refunds are subject to a 20% administration fee

Exchange:
We will be happy to exchange the voucher for any activities featured in our brochure, advertisements or website excluding special offers at no extra charge, although if the chosen alternative is more expensive the difference will have to be paid at the time of change of activity

Change of Booking – rescheduling:
No charge for rescheduling due to inclement weather
No charge if more than 4 weeks before booked activity date
10% process fee if less than 4 weeks before booked activity date this additional sum to be paid at the point of confirmation of change.

In the event of illness or other extenuating circumstances that requires a booking to be postponed at short notice, WEA may require, at its sole discretion, a medical certificate or other independent corroboration in order to waive any additional sum that falls due. 

We cannot accept any responsibility for any loss arising from any delay or cancellation of the Activity arising at any time.

Cancellation:
If you do not cancel your booked activity prior to your activity date and do not attend you will forfeit your activity. No refunds shall be made

General Information:
Flights are conducted on a variety of dates throughout the flying season.
WEA will normally make available booking dates 8 weeks in advance.
Flights can be affected by adverse weather conditions, operational concerns such as airfield constraints, pilot illness or aircraft serviceability. Accordingly, WEA will re-book flights but no refunds are available.
Participants should wear casual clothing and light footwear consistent with the season. Generally, flying suits will be provided for the activity. Loose articles must be left on the ground at the owner’s risk
Spectators are welcome although the bulk of the action takes place away from the airfield. The Spectators will of course be on a live airfield and are expected to abide by all byelaws and regulations thereon. On no account will spectators be allowed ‘air side’ and, by attending, the spectators agree to follow all directions given by WEA and airfield personnel. Animals are prohibited on the airfields

The user will need to be agile enough to get in and out of the particular aircraft or equipment in use and you must be medically fit enough for the particular activity.  If the user has any doubts about medical fitness, they should consult their doctor.  Please bear in mind that no-one should fly if suffering from a heavy cold, and in particular, advice should always be sought from a doctor if there is any known heart complaint, epilepsy, asthma, incontinence or other disability or medical complaint, e.g. neck or back problems which may be aggravated by any of WEA’s activities.

WEA does all it can to fly those with disabilities provided that they will not compromise the safety of the aeroplane, the pilot and participant. However given the nature of the activities undertaken, WEA’s discretion is absolute. All medical complaints or disabilities must be disclosed when booking. Should any complaint of the nature outlined above present itself between the point of booking and the flight taking place the user has an absolute obligation to notify WEA immediately. In the event such a complaint is revealed on the day of the flight WEA reserves the absolute right to refuse to undertake the flight with the participant.

WEA reserves the right to request a medical certificate confirming fitness to fly if necessary. Generally, participants must be able to meet the medical requirements for a National Private Pilot’s Licence.

Further, any conduct on the ground or in the air which, at WEA’s absolute discretion, is deemed to potentially jeopardise safety will result in the immediate cessation of the flight or refusal to conduct the activity with the participant. In particular, if the participant appears to be under the influence of alcohol or drugs, or has any indication of having been recently under the influence of alcohol or drugs, WEA may at its absolute discretion, refuse to conduct the activity and the participant will forfeit the flight without refund  

If in doubt, consult your doctor first. Generally, participants must be able to meet the medical requirements for a National Private Pilot’s Licence.

Many activities have height, weight and age restrictions.  We can advise you of these when purchasing your voucher.   For those aged 18 or under a parent/guardians consent will be required.

In accordance with the UK Air Navigation Order and JAR-OPS 1, an aeroplane shall be deemed to be in flight from the moment the aircraft moves under its own or external power for the purpose of taking off until the moment it comes to rest at the end of the flight.

As stated above, the nature of flying means that on occasion a flight cannot be fulfilled due to operation constraints, weather conditions, pilot illness, insurance, requirements, legal constraints, airfield operations or any other aspect cited above. The user appreciates that WEA will do all it reasonably can to honour a flight on a particular day however WEA will accept no liability for any financial or consequential loss

If travelling a long distance to take your flight you are advised to contact WEA for up to date information prior to departure. In any event, all participants must contact WEA at the prescribed time previously advised to the participant on the day of the activity to confirm the booking before arriving at the designated airfield.
